Administrative Assistant for Advancement
Position is full time, for the full calendar year. Position will perform the administrative duties for the Head of School and Office for Advancement.

Qualifications include strong interpersonal skills; database management experience; communication, organizational, and computer skills; attention to detail; ability to multi-task. College coursework preferred.

Job Description 
The Administrative Assistant is a member of the Office for Advancement and supports the following areas: Board of Directors, Board Committees, Advancement, Alumnae, Database and Communications. In addition, the Administrative Assistant provides support to the Head of School on special projects.  
 
Daily Responsibilities: 
  • Affirm commitment to the Marian High School Mission Statement
  • Provide receptionist coverage for the Head of School and Office for Advancement.
  • Answer telephone and screen/direct callers
  • Work closely with the Head of School on daily scheduling activities; provide Head of School with clerical support and assistance on special projects (e.g., copies of the master calendar, information packets, various research projects)
  • Coordinate use of meeting spaces and the meetings; maintain calendars of meeting spaces
  • Ensure all visitors to the Office for Advancement sign-in and receive a visitor’s badge
  • Maintain reception area and machine room
  • Update information in Raiser’s Edge donor database as needed
 
Periodic Responsibilities (e.g. weekly, quarterly, annually):
  • Support for all Board of Directors and Board Committee meetings, including meeting set-up, RSVP process and minutes.
  • Support for major gift and campaign efforts
  • Manage Advancement scholarship process
  • Organize mailings; follow-up by phone and/or email when appropriate
  • Assist with event and meeting preparation; assemble materials and manage RSVPs
  • Compile data, using phone and internet research
  • Update Raiser’s Edge donor database with student records and activities
  • Assist with annual Spring Raffle, including soliciting prizes by mail, collecting tickets/money, issuing dress passes, etc.
  • Assist with special Advancement events and regional activities; maintain RSVPs for events
  • Assist Office of Alumnae Relations with alumnae activities/events
  • Support efforts on behalf of our parent groups (Mothers’ Club, Dads’ Club, Marian Athletic Club)
  • Assist with Master Calendar updates
  • Communicate computer and telephone problems/resolution for the department
  • Facilitate mail merges to create letters, envelopes, labels, etc.
  • Use of database software, Word and Excel to run queries, lists, reports, and labels as requested
  • Maintain faculty/staff emergency radio and binder information
  • Coordinate and distribute faculty/staff birthday cards
  • Manage volunteer workers
  • Track and order supplies for the department as needed, including postage and bulk mail
  • Maintain all student Communication Release forms
  • Assist with ongoing archiving project
  • Assist with other projects and duties as necessary
